How ticket scanning works
TicketLine uses QR-based tickets for event entry. A scanner can read the QR code on a ticket and check whether the ticket is valid for entry.
Scanning can be performed by an Organization Admin or by a separate Scanner User account created for event staff.
Admins can test scanning without creating a Scanner User
Organization Admins can use their own administrator access to test the available ticket-scanning functions.
You do not need to create a separate Scanner User account simply to test the scanning system.
1. Log in to the scanning system
Open the TicketLine login page
Log in using the account that has been provided for ticket scanning. This may be your Organization Admin account or a Scanner User account.
Select your organization when required
If a Scanner User has been assigned to more than one organization, TicketLine may ask the user to choose the organization after login.
Select the organization for which you are going to scan tickets.
Check the selected organization
Before scanning tickets, make sure the correct organization is selected. This is especially important when the same Scanner User has access to multiple organizations.
2. Enable sound on first login
The scanning system can provide an audible indication of the scanning result. This can be useful when staff are checking tickets continuously at an entrance.
Allow sound and audio
When using the scanning system for the first time, make sure sound is enabled on the device and that the browser is allowed to play audio.
Test the scanner before the event
Perform a test scan before starting actual entry operations. Confirm that the scanning result appears correctly and that the expected sound can be heard.
Enable sound before the entrance becomes busy
Browser and device sound restrictions can sometimes prevent audio from playing until the user interacts with the page. It is therefore best to check sound during setup rather than at the entrance during the event.
3. Scan a ticket
Open the scanner
Open the TicketLine scanning function. Allow camera access if the browser asks for permission.
Point the camera at the QR code
Ask the visitor to display the QR code on their ticket. Point the device camera toward the QR code and keep it within the scanning area.
Wait for the scan result
TicketLine will process the QR code and display the result of the ticket check.
4. Understand the scan result
The scanner displays a clear result after the QR code has been checked. The result should be reviewed before allowing entry.
Valid Ticket
The ticket has passed the required checks and can be accepted according to the displayed result.
Already Used
The ticket has already been used for entry. Do not allow another entry based on the same ticket unless the situation has been properly reviewed.
Invalid Ticket
The ticket did not pass the required validation. Follow the information shown on the scanner before taking further action.
Ticket Details
Where available, use the displayed ticket details to review information about the ticket and its scan status.
Do not rely only on the QR code appearing on screen
Always check the actual scan result displayed by TicketLine. A QR code being visible does not by itself mean that the ticket is valid for entry.
5. Scan the next ticket
Continue with Scan Again
After completing a ticket check, use the available scanning control to return to the scanner and scan the next ticket.
Continue this process for each visitor entering through the scanning point.
6. Use the camera controls
Camera Access
The scanning page requires access to the device camera in order to read QR codes.
Switch Camera
If the device has more than one camera, use the available camera control to switch between cameras when necessary.
Test the camera before the event
Check camera access and QR scanning before staff begin checking actual visitors at the entrance.
Scanner Users at an event
Organization Admins can create separate Scanner User accounts for staff members who will operate scanning devices at the entrance.
Each Scanner User should use their own account rather than sharing scanner credentials with other staff members.
One Scanner User can work with multiple organizations
A Scanner User may be assigned to more than one organization. In that situation, the user may need to choose the appropriate organization after logging in.

Prepare scanners before the event
It is good practice to prepare and test the scanning devices before visitors begin arriving.
- The scanner account can log in successfully.
- The correct organization is selected when applicable.
- Camera permission has been granted.
- Device sound is enabled.
- The scanning function opens correctly.
- A test QR code can be scanned successfully.
- Staff understand how to interpret the scan result.
Testing the scanning system
Organization Admins can test the TicketLine scanning functions using their own administrator access.
No Scanner User is required for testing
You do not need to create a Scanner User account just because you want to test ticket scanning.
Create Scanner User accounts when other members of your event team need their own access to perform entry checking.
Scanning checklist
Before opening the event entrance, make sure the following has been checked:
- Scanner User accounts have been created where required.
- Scanner Users can log in successfully.
- The correct organization can be selected when applicable.
- Camera permission has been granted.
- Sound is enabled on the device.
- The scanning function has been tested.
- Staff know how to identify valid and unsuccessful scan results.
- Devices are ready for use at the assigned entry points.
