How scanner access works
Scanner Users are separate user accounts intended for members of your event team who need to use TicketLine's ticket-scanning system.
Organization administrators can add scanner accounts and manage their access from the Scanner Users section.
You can test scanning without creating a Scanner User
If you are an Organization Admin and want to test TicketLine's scanning functions, you can do so using your own administrator access. You do not need to create a separate Scanner User account just for testing.
Create Scanner Users when other members of your event team need their own access to the scanning system.
1. Open Scanner Users
Go to the organization dashboard
Log in to your TicketLine Organization Admin account and open the organization dashboard.
Find Entry Monitoring
On the dashboard, find the Entry Monitoring section.
Beside Scanner Users, select Manage.
2. Start adding a Scanner User
Select Add Scanner
On the Scanner Users page, select + Add Scanner.
TicketLine will open the scanner account setup process.
3. Enter the scanner's email address
Enter the email address that will be used by the Scanner User.
Scanner User Email
Enter the email address of the person who will operate the scanner. Use an address that the scanner operator can access.
Check and continue
After entering the email address, select Check & Continue.
TicketLine will check the email address and continue with the appropriate account setup.
4. Complete the Scanner User account
When a new Scanner User account needs to be created, complete the account details shown by TicketLine.
Scanner Name
Enter the name of the person who will operate the scanner.
Account Password
Set a password for the Scanner User account.
Create the Scanner account
Review the entered information and select Create Scanner Account.
Scanner User created
Once the account has been created successfully, it will appear in the Scanner Users list for your organization.
5. Manage Scanner Users
The Scanner Users page provides an overview of the scanner accounts associated with your organization.
Name & Email
Identify the scanner operator and the email address associated with the account.
Device
View the device assignment associated with the Scanner User.
Gate
View the gate assignment, where applicable.
Account Status
Check whether the Scanner User account is currently active.
Lock Status
Check whether the scanner account is locked or open.
Last Login
View the most recent login information available for the account.
6. Control scanner access
The Scanner Users page provides controls that allow the Organization Admin to manage scanner access when required.
Deactivate
Deactivate a Scanner User when their account should no longer have active access.
Lock / Unlock
Lock or unlock a Scanner User account as required for event operations.
Remove Device
Remove the device associated with a Scanner User when necessary.
Give scanner access only to authorized staff
Scanner accounts can be used to validate tickets at your event. Only provide scanner credentials to people who are authorized to perform entry-checking duties.
Testing the scanning system
You do not have to create a Scanner User account simply to test how TicketLine's scanning functions work.
Organization Admins can test the functions
An Organization Admin can use their own access to test the available ticket-scanning functions before creating separate scanner accounts for event staff.
Once your event is ready for actual entry operations, create separate Scanner User accounts for the staff members who will be responsible for scanning tickets.
Scanner User checklist
Before giving a Scanner User access to your event operations, make sure the following has been completed:
- The scanner operator's email address has been confirmed.
- The Scanner User account has been created successfully.
- The scanner operator has the required login credentials.
- The Scanner User has the appropriate access for the event operation.
- Device and gate assignments have been checked where applicable.
- The scanner operator knows how to access the ticket-scanning function.
